This policy describes how Chess Insight handles personal data when academies and coaches use our platform to sync games, run analysis, manage rosters, and manage subscriptions.
1. Overview
Chess Insight ("we," "us," or "our") operates an AI-assisted chess coaching platform for academies and coaches at chessinsight.in. This Privacy Policy explains what personal data we collect, how we use it, and the choices available to you.
This policy applies alongside our Terms & Conditions. Capitalized terms not defined here have the meanings given in the Terms.
2. Data we collect
Depending on how you use Chess Insight, we may collect:
- Account data: name, email address, phone number, academy name, role, password hash, and authentication tokens.
- Academy roster data: player names, batch or class assignments, coach assignments, and internal academy identifiers.
- Linked platform data: Chess.com and Lichess usernames you or your coaches connect for game sync.
- Game and analysis data: PGNs, move lists, engine evaluations, opening tags, mistake classifications, AI-generated summaries, and dashboard metrics derived from synced games.
- Usage and billing data: subscription plan, payment status, invoices, feature usage, sync activity, support requests, and device/browser logs needed for security and troubleshooting.
- Cookies and session data: session identifiers, preferences, and analytics events as described in Section 10.
We do not intentionally collect sensitive categories of data (such as health or biometric data). Please do not submit such information through the Service.
3. How we use data
We use personal data to:
- Provide and operate the Service, including game sync, analysis, and dashboards.
- Authenticate users and enforce account security.
- Process subscriptions, trials, and billing.
- Generate coaching insights, reports, and AI-assisted recommendations.
- Improve reliability, performance, and product features.
- Respond to support requests and communicate service updates.
- Detect fraud, abuse, and violations of our Terms.
- Comply with legal obligations.
4. Legal bases for processing
Where applicable law requires a legal basis, we rely on:
- Contract: processing necessary to provide the Service you request.
- Legitimate interests: securing the platform, improving features, and preventing misuse, balanced against your rights.
- Consent: where required for optional communications or certain integrations.
- Legal obligation: when we must retain or disclose data to comply with law.
Academies and coaches that add player information are responsible for ensuring they have an appropriate basis to share that data with us.
5. Storage and infrastructure
Chess Insight stores data in secure cloud infrastructure, including Google Cloud and Firebase/Firestore databases, located in regions selected for reliability and performance. Backups and logs may be retained in related cloud environments operated by our providers.
We apply access controls so staff and systems can access personal data only as needed to operate the Service, provide support, or meet legal requirements.
6. Data retention
We retain personal data for as long as your account is active or as needed to provide the Service. After account closure, we may retain certain data for a limited period to:
- Complete billing, tax, or legal record-keeping.
- Resolve disputes and enforce agreements.
- Maintain aggregated or de-identified analytics that cannot reasonably identify you.
Game and roster data may be deleted or anonymized according to your plan settings and our operational policies. Contact us to request deletion subject to legal retention limits.
7. Security
We implement administrative, technical, and organizational measures designed to protect personal data, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

8. Third-party services
We share data with service providers only as needed to operate Chess Insight, including:
- Chess.com and Lichess: to retrieve publicly available or authorized game data for linked usernames you configure.
- Payment processors: to handle subscription billing; we do not store full payment card numbers on our servers.
- Cloud and AI providers: to host infrastructure, run engine analysis, and generate AI coaching insights under contractual confidentiality and security obligations.
- Analytics and communication tools: to measure product usage and deliver service emails.
These providers process data according to their policies and our agreements with them. We do not sell personal data.
9. Cookies and sessions
We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. Session cookies are essential for authentication. Analytics cookies help us improve performance and features.
You can control cookies through browser settings. Disabling essential cookies may limit your ability to use the Service.
10. Children's privacy
Chess Insight is designed for use by academies and coaches. We do not knowingly collect personal data directly from children under 13 (or the applicable age in your jurisdiction) without appropriate authorization.
If you believe a child has provided personal data to us without proper consent, contact privacy@chessinsight.in and we will take appropriate steps to review and delete the information where required.
11. International transfers
Your data may be processed in India and other countries where we or our providers operate. Where required, we use appropriate safeguards—such as contractual protections—to help ensure your data receives an adequate level of protection.
12. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal data, and to data portability or withdrawal of consent where processing is consent-based.
To exercise these rights, email privacy@chessinsight.in. We may need to verify your identity. Players added by an academy should contact their academy administrator first; we will assist where we are legally permitted.
If you are in India, you may also have rights under applicable data protection rules as they come into force. We will respond within reasonable timelines required by law.
13. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the latest revision. Material changes may be communicated by email or in-product notice. Continued use after updates become effective indicates acceptance of the revised policy.
